Privacy Notice
How personal information submitted through this website is collected, used and protected.
Who we are
This website is operated by Esther Koomson Esq., Notary Public, of The Landmark, No. 115A Angola Avenue, Ringway Estates, Osu – Accra (P.O. Box 1729, Madina, Accra). For the purposes of the Data Protection Act, 2012 (Act 843), the notarial practice is responsible for the personal data you provide through this website.
What we collect
- Contact details: your name, email address, phone number and, if applicable, your company or institution.
- Request details: the service required, the number and nature of documents, the destination country, preferred date and location, and any notes you add.
- Documents you choose to upload. These may contain personal data, including identification details, about you and other people named in them.
Please upload only what is needed for your request. Do not upload documents that you are not entitled to share.
Why we use it
- To respond to your request, arrange and confirm your appointment, and prepare for it.
- To provide the notarial services you ask for, issue invoices and receipts, and keep records required for notarial practice.
- To comply with legal and professional obligations.
We process your information with your consent, which you give when you submit the request form, and because it is necessary to take steps at your request before providing a service and to perform that service. We do not use your information for marketing, and we do not sell it.
How your request is delivered
When you submit the form, your request and any uploaded files are sent by email to the practice through FormSubmit, a third-party form-delivery service. FormSubmit processes the submission in order to deliver it. Its own privacy terms apply to that processing, and it may process data outside Ghana. If you prefer not to use the form, you may contact us by telephone on +233 54 530 5964 or by email at esther.amakoomson@gmail.com.
Who we share it with
We share your information only where necessary to provide the service you request or where required by law — for example, with the Judicial Service of Ghana or the Ministry of Foreign Affairs and Regional Integration when a document is being legalised at your request, or with a public authority entitled by law to receive it.
How long we keep it
Requests that do not proceed to an appointment are deleted within twelve months. Where a service is provided, records are kept for as long as necessary for notarial practice and to meet legal and professional obligations, and then securely deleted or destroyed.
How we protect it
We take reasonable technical and organisational measures to protect personal data against loss, unauthorised access and misuse, and limit access to those who need it to handle your matter. No method of transmission over the internet is completely secure.
Your rights
Subject to Act 843, you may ask to access the personal data we hold about you, ask us to correct or delete it, and object to or withdraw consent for its processing. Withdrawing consent does not affect processing already carried out, or records we must keep by law. To make a request, contact us using the details above.
If you are not satisfied with how we handle your personal data, you may complain to the Data Protection Commission of Ghana.
